Sharp-ax Implementation – Phased Structure

Our customers are busy and do not always have spare resource to implement a new computer system. We are conscious of the need to work with your staff to ensure a smooth flow of structured training working around your workloads.

To this end, we recommend a phased implementation.

Phase  One – Implementation & Planning Day – Let’s get Started

The start of your initial training is the Implementation day when we identify how your business operates, the processes that you have in place and which processes you are looking to change and improve. We will offer our recommendations drawn from Sharp-aX knowledge and a wealth of experience gained from other Sharp-aX system users over many years.

We will agree a schedule of who does what, when and where for both Sharp-aX and your company in order to meet your go live target without unnecessary stress.

Phase Two – Let’s get Live

The purpose of Phase Two is to get your staff trained and competent to go live with confidence.  This means they will be knowledgeable on all ledgers: confident in sales and purchase order processing, goods in, returns, credits, cash collection and stock control.

Each training day will have an agenda with nominated personnel to be trained. We recommend that some of the training be given in Berkhamsted to avoid interruptions and allow total focus on new tasks. The day is recorded and signed off by you – the customer – with a section for your comments and feedback which we welcome.

Accounts people will be shown how to run financial reports / management accounting and VAT returns, transfer funds from bank account to bank account and to reconcile statements.

Training works best in small numbers and in 2/3 hour slots. This allows practise between sessions and different departments to be trained throughout the day.

Phase Three – Review & Establish Processes

We will review your processes and advise further improvements as appropriate. Once live, your data will become meaningful and make sales and purchases reporting invaluable to you day to day and month to month, seeing trends in the form of Pivot tables and dashboards. We will visit each department, checking for areas which could operate more smoothly and reviewing alternative methods.

Phase Four – Let’s Get Smart

Set minimum margins

Control your purchasing, ‘don’t buy stock that you already have’

Run a daily/weekly low stock report

Control your sale of stock, ‘sell the stock that you already have
Use our alternative products feature

Run promotions to clear discontinued stock by email, create messages on your invoices and statements

Know your customers – what are they not buying
Check their previous orders

Run Customer Transaction history reports

Cut down on your accountancy costs by reconciling your accounts yourselves – produce simple monthly management accounts

Don’t wait for the end of the year for your accountant to tell you “it wasn’t your best year”

We have a team of software developers whose job it is to write new features and modules keeping your software up to date and always ahead of your competition

Phase Five – Growth

Your company should now be in a position to grow, you are now running your system with ease and your people are more efficient and happy

Now to look at additional modules such as:
Sales-i Marketing
Telesales
Van Routing
Bill of Materials & Works Order
Batch Tracking

This is the time to set up your fully integrated web site.

Come and see us, see all the available options from B2B, Magento and of course our fully integrated web site whereby when you arrive each morning your system has automatically downloaded new orders. These are the orders which you are unlikely to have received without a website.

Job done.

Your Future – Knowledge Is Power

Via our website and Monday mails, we will keep you informed of still more new modules, features and training courses which we know will be of interest to your specific industry.

Please don’t undervalue the investment you make in your system and your consultancy – knowledge is power.

An account consultant manages and monitors each customer, from the initial implementation meeting through to ‘go live’

On site training: split days to suit the availability of your staff

Inhouse training – professional training rooms – large screens

Form Design

Report Writing

Remote Training can be provided via screen-share, which is billed per hour to help fit around your business needs and availability

Post Sales – customer follow up

Sharp-aX Computers systems asks – Are you in Distribution?

Customer Feedback

"The installation has gone very well, and it has saved us a lot of time and made us more efficient especially on the sales desk. We plan to grow the system over the next few years as the company grows"

Mark Slater, Manager
M&S Distributors

"I have worked closely with the Sharp-Ax Web Development Team for more than 4 years now. When we first started working together, I was incredibly green and had little knowledge of how to go about creating a website.

Sharp-Ax were incredibly patient and helped me through the early stages, quickly earning my trust and respect.

Throughout the process they have come up with some truly innovative solutions to tasks I have set and have worked with me to achieve a platform that I am very happy with.

I would wholeheartedly recommend them to anyone that is looking to either start a website from scratch or are looking to move their business. It sounds corny Jean, Manish and the rest of the team do actually prioritise the customer experience, which in this day and age is refreshing"

Gary Sanderson
Metro Fixings

Skilled, reliable, and excellent customer care

"I've been working closely with the web team at Sharp Ax now for over two years, and during that time they have always been thoroughly professional, reliable and most importantly, very good at what they do.

Our site has gone through strength to strength since we went live around 18 months ago, and it has now become a vital part of our business. We regularly receive glowing compliments about the layout and usability of our website from customers and suppliers, and while I would love to be able to take the credit for it, this is largely down to the website template and CMS, which is simple and easy to use.

As with all tech installations you may get the odd hiccup or something may not integrate seamlessly with your own system at first, but the best thing about Sharp Ax is that any problem is fixed quickly and with the minimum of fuss. It is clear that they prioritise customer satisfaction, which is refreshing to see from a tech company.

I would not hesitate to recommend this company to anyone and I look forward to continuing a strong working relationship moving forward"

Mark Collins
TC Fixings

"We had a big increase in our daily workload as we set up the new system. Our software problems proved to be minimal though and Sharp-aX came to our aid whenever required, so we were able to move forward with total confidence"

Dave Mansfield, Senior Systems and Network Administrator
Apex Grange Ltd

"We wanted to set the company up for the next 15 years with a totally modern Microsoft windows system that has everything we need and all the features that we will need as we grow, and is easy to use. Already it is like having another member of staff and we have all the daily knowledge we need at our fingertips. The sales order processing is splendid"

Simon Carter, Company Manager
Carter Mason Electrical Ltd

"I've looked at different systems and picked Sharp-Ax from Sharp-aX Computer Systems, because it used all modern windows techniques and was by far the best I saw; they are very experienced in electrical wholesalers systems and while they are a large software house which is reassuring, you are still treated as important, whatever size you are"

Jon Bishop, Branch manager
Connect Electrical
